Creating Tasks with Tokens

Unleash the Power of Task Tokens

Tokens are used in the Task creation so that users can identify the various properties of a timecard as described below. These tokens can be used for any error/description and will automatically be replaced with the proper value within the context in the task list. A double curly bracket must be used before and after the token name as illustrated below in the table.

Setting up Tasks using Tokens

Creating Task Tokens from OCG Live Portal

  • Select the guideline that the task needs to be added
  • Select ‘Add New Rule’ and then ‘Next’ leaving the Conditions blank
  • Select ‘Create Task’ from the Actions toolbox
  • Enter respective text – see examples below
  • Assign a User from the dropdown selection on the right
  • Set Action Limits by selecting ‘Action Limits’
  • Select ‘Save’
  • Select ‘Next’
  • Select ‘Save’ OR ‘Save & Activate’

Example – Budget Needed Task

An initial timecard #{{id} has been entered for Matter # {{matter.matterId}} for Client # {{matter.clientId}} and the client requires an approved budget prior to billing.  Please follow up to make sure a budget has been provided and entered.

Example – New Timekeeper

This Client requires all new timekeepers to be approved.  This is the first time that {{timekeeper}} has worked on Matter #{{matter.matterNumber}}{{matter.matterID}} for Client # {{matter.clientNumber}} {{matter.clientId}} on timecard #{{id}}.  Please take the necessary steps to have them approved.

Creating Task Tokens that require a Timecard Trigger from OCG Live Portal

  • Select the guideline that the task needs to be added
  • Select ‘Add New Rule’
  • Enter a Task Name
  • Select Respective label from the “Time Entry” toolbox and add conditions
  • Select ‘Next’
  • Select ‘Create Task’ from the Actions toolbox
  • Enter respective text – See example below
  • Assign a User from the dropdown selection on the right
  • Set Action Limits by selecting ‘Action Limits’
  • Select ‘Save’
  • Select ‘Next’
  • Select ‘Save’ OR ‘Save & Activate’

Example – Travel – 50%

Condition:

The Work Description “contains Travel”
Please reduce travel to 50% per guidelines for {{timekeeper}} on Matter # {{matter.matterId}} on timecard #{{id}}.
